Privacy Policy

1. Who we are
PracticeKit is a web-based service that helps youth sports coaches generate practice plans. This Privacy Policy describes how PracticeKit ("we," "us," "our") collects, uses, and protects information when you use the PracticeKit website (practicekit.ai) and web application (app.practicekit.ai) (the "Service").
The Service is operated by PracticeKit, LLC, a Delaware limited liability company based in the United States.

2. Information we collect
2.1 Information you provide directly
- Account information: email address (required for account creation), optional name
- Team information: sport, age band, gender, league name, practice schedule, equipment available, and other team-configuration data you enter during onboarding
- Player information: if you use the Team Journal or lineup features, you may enter player names, jersey numbers, notes, and goals for players on your team
- Practice plans: the practice plans you generate or compose, including any bookmarks, feedback, journal entries, and drills you save
- Communications: if you email us or submit feedback through the app, we retain those messages
2.2 Information collected automatically
- Usage data: how you interact with the Service — pages visited, features used, timestamps, referring URL. Collected via PostHog analytics.
- Device and technical information: browser type, operating system, IP address, screen size, and similar technical data
- Cookies and similar technologies: we use cookies to keep you signed in and to remember your preferences (e.g., which team you're currently viewing). See "Cookies" below.
2.3 Information from third-party services
- Authentication: we use Supabase Auth to manage accounts. Supabase stores your email and hashed authentication credentials.
- Payment information (when Pro tier is active): if you subscribe to the paid Pro tier, payment information is collected and processed by Stripe, our payment processor. We do not receive or store your full credit card details. We receive limited information from Stripe such as subscription status, billing dates, and the last four digits of your card.
3. How we use your information
We use the information described above to:
- Provide, operate, and improve the Service
- Generate practice plans, drills, coaching cues, and other content on your behalf
- Personalize the Service to your team and coaching context
- Send transactional emails (magic-link sign-in, payment receipts, subscription notifications)
- Understand how coaches use the Service so we can make it better
- Detect, prevent, and respond to fraud, security incidents, or misuse
- Comply with legal obligations
- Communicate with you about the Service (updates, feature announcements, feedback requests) — with your ability to unsubscribe from optional communications
4. AI and third-party model providers
PracticeKit uses AI models operated by third-party providers (currently Anthropic) to generate practice plans, drills, coaching cues, and other content. When you use these features, the prompts and context we send to the AI provider may include your team's sport, age band, skill level, session number, focus theme, and (for Pro features) journal entries, goals, and player information.
We do not use your data to train third-party AI models. Anthropic's default terms for our tier do not use API traffic to train foundation models. We periodically review this policy and will notify users of material changes to how AI providers handle your data.
5. How we share your information
We do not sell your information. We share it only with:

Service providers who help us operate the Service. Current providers include:
- Supabase (database, authentication, hosting)
- Vercel (application hosting, edge networking)
- Anthropic (AI model provider for plan generation)
- PostHog (product analytics)
- Resend (transactional email delivery)
- Stripe (payment processing, when the Pro tier is active)
- Legal or safety obligations: we may disclose information if required by law, valid legal process, or to protect the rights, property, or safety of PracticeKit, our users, or the public.
- In connection with a business transaction: if PracticeKit is acquired, merged, or reorganized, information may be transferred to the successor entity subject to this policy.
6. Player and minor information
PracticeKit is a tool for adult coaches. You must be at least 18 years old to create an account. We do not knowingly collect personal information directly from minors.
You may enter information about players on the teams you coach (names, jersey numbers, coaching notes). This information is entered by you as an adult coach acting on the team's behalf. You are responsible for handling player information in accordance with any applicable laws, your league's rules, and consent from parents or guardians as appropriate.
If we become aware that we have collected personal information directly from a minor without appropriate consent, we will delete it promptly. Contact coach@practicekit.ai to raise a concern.
7. Cookies and tracking technologies
We use the following types of cookies and similar technologies:
- Essential cookies: required for the Service to function (session cookie for authentication, team-selection preference, etc.)
- Analytics cookies: PostHog analytics uses cookies to understand how coaches use the Service
- Payment cookies (Pro tier): Stripe uses cookies during checkout to process payments securely
You can control cookies via your browser settings. Blocking essential cookies will prevent you from using the Service.
8. Data retention
We retain your information for as long as your account is active. If you delete your account, we will delete your personal information within a reasonable period (typically 30 days), except where we are required to retain it for legal, security, or fraud-prevention purposes.
Anonymized or aggregated data — data that cannot reasonably identify you — may be retained indefinitely for product improvement and analytics.
9. Your rights
Depending on where you live, you may have rights to:
- Access the personal information we hold about you
- Correct inaccurate information
- Delete your account and personal information
- Object to or restrict certain processing
- Data portability (receive your data in a machine-readable format)
To exercise any of these rights, email coach@practicekit.ai. We'll respond within 30 days.
California residents (CCPA/CPRA): you have additional rights, including the right to know what personal information we collect, the right to delete it, and the right to opt out of the "sale" or "sharing" of personal information. PracticeKit does not sell personal information.
10. Security
We use industry-standard security practices to protect your information, including encryption in transit (TLS/HTTPS) and at rest, restricted database access via row-level security, and secure authentication via Supabase Auth.
No system is 100% secure. If you believe your account has been compromised, email coach@practicekit.ai immediately.
11. International users
PracticeKit is operated from the United States. If you access the Service from outside the US, your information will be transferred to and processed in the US. By using the Service, you consent to this transfer.
12. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we'll update the "Last Updated" date at the top and, for material changes, notify you by email or in the Service. Continued use of the Service after the effective date constitutes acceptance of the updated policy.
